Harvard Film Archive in HOLLIS

The HFA FileMaker database provides a critical staff tool for accessioning of new materials and service to users; however, most of the HFA holdings are not in HOLLIS. The jewel of a hidden collection at Harvard should be revealed to the world through HOLLIS Catalog records.

March 2012 Update

Activities to date:

  • Worked with HFA & HCLTS colleagues to map a subset of the Filemaker fields to MARC fields
  • Created of a draft template in Filemaker for exporting the relevant data
  • Used Excel to create tab-delimited files that are compatible with MarcEdit,
  • Developed a draft MarcEdit template to convert those files to valid MARC records (and documentation about using this feature of MarcEdit)
  • Consulted with Corinna Baksik at OIS about cleaning up data during the record load process
  • Began to develop Cognos reports for detecting potentially-redundant bibliographic records (once they’re in Aleph)
